Meeting of Trustees held on

In the Community Hall
Present:
Doug McIntosh (chair), Ian Wilkinson (vice-chair), Tony Ensom (secretary), Kathy Talbot (treasurer), Gwyneth Beynon, Sian Beynon,
Julie Burgess, Amanda Cresswell, , Jill Ensom, Mark Taylor and Jill Thomas.

Minutes:
The minutes of the meeting held on 03 April 2023, which had been circulated previously, were agreed and signed by Doug.
Treasurer’s Report:
The following report from Kathy had been circulated before the meeting:
The current bank balance is £8526.15 with £780 in cash which will go the bank in due course. This month, following the award of the Enhancing Pembrokeshire grant we have now purchased equipment for use primarily in the allotments. This meant an outlay of £1161.71, as per our grant application and we will now apply for the £900 reimbursement from PCC. We have also insured the equipment at a premium of £14.40.
The new TV was installed and while its prime use is for the transmission of EWCC meetings, as it is connected to the internet it is deemed to be a "live" TV. So that we don't run foul of the authorities by inadvertently accessing You Tube or the rugby we have purchased a TV licence for £159. Hopefully it will add to the letting possibilities for the Hall. We have paid £72 to Ocon for the regular maintenance on the fire safety equipment.
The use of the hall for the quiz, bowls events and gym class has given an income of £499 in cash and £132 on SumUp. We have restocked
the bar at £393.42. With the increase in the Government minimum wage we have amended the remuneration for Gwyneth Beynon accordingly.
The Coronation celebration is coming up. After some discussion we've purchased 50 drinks bottles for £301.80 as gifts for children. Against
this we will have £150 grant from EWCC. It is hoped that any not given as gifts on the day will be used as giveaways on special occasions or sold – we'll have to agree a price. I'm holding the cash ready to reimburse those who incur expenses for the event. Please ask!
Jubilee Park & Nature Trail:
Ian reported that path repairs have been carried out by Pembroke College students. He also reported that on 17 th April he had been interviewed in the Park by Jamie Owen on behalf of the Pembrokeshire National Park Trust’s Force for Nature Scheme, that the inspection of the Park on 18 th April for Green Flag status went very well and that on 19 th April he and Pete Strydom attended the award ceremony in Cardiff for the Keep Wales Tidy Celebrating Success. There were eight categories with three finalist in each. Although we didn’t win our category (Nature’s Heroes) the winners (Valley Veterans) went on to win the Outstanding Achievement Award recognising the best of the best, so we lost to the “Champions” of the day. Ian also reported that the enhancement work including new raised beds and trellis on the Common instigated by the Community Council with materials supplied by Keep Wales Tidy Local Places for Nature has now been completed.
Allotments:
Julie reported that a few plots need attention. In some cases this was due to illness. If improvements have not been made by the end of May, plot holders will be reminded of their obligation to keep plots in use and tidy.
Community Hall:
Gwyneth reported that problems with operations of the controls for the heating system were continuing. Doug agreed to contact the heating engineer again.
Hall Bookings:
Sian reported that a booking has been made for a child’s birthday party on 26 August from 10.00 am – 2.00 pm.
Coronation Event:
Arrangements for the event were finalised at the meeting. The hall will be decorated on Friday 05 May from 6.00 pm.
Any Other Business:
Dementia Awareness: Kathy reported that the Association is now registered with the Alzheimer's Society and that we have stickers to
demonstrate the Hall's wish to work towards becoming dementia friendly.
Annual General Meeting:
Trustees were reminded that the Association’s Annual General Meeting for 2023 will be held on Monday 05 June 2023 at 7.00 pm
and that the Notice of the meeting will be issued on 22 May.
Next Meeting:
The next meeting will be on Monday 05 June immediately following the AGM.
