Meeting of Trustees held on Monday 05 February 2024 in the Community Hall
MINUTES
Present:
Doug McIntosh (chair), Ian Wilkinson (vice-chair), Tony Ensom (secretary), Kathy Talbot (treasurer), Jill Ensom, Amanda Cresswell, Gwyneth Beynon, Sian Beynon, Tracy Beynon, Julie Burgess, Mark Taylor and Jill Thomas.
Apologies:
Jenny Oliver and Cliff Williams.
Minutes:
The minutes of the meeting held on 08 January 2024, which had been circulated previously, were agreed and signed by Doug.
Treasurer’s Report:
The following report from Kathy had been circulated before the meeting:
Our bank balance had reduced to £9,098 as we have had some expenses this month. Topping up the oil tank £659, the unit price was £75.49p. We have also paid for the hedge trimming, £363.00 and renewal of our IT services, £181. The only event this month was the January quiz – which gave us an income (though not profit) of £536. Our quizzes are becoming ever more popular and we had 10 tables and some 60 people! The bar alone took £347, so Tracy and Sian must have been run off their feet. Sian has carried out a stocktake of the bar. I need to confirm one or two prices and mark-ups, but the value is about £1,500 which is in line with our insured value.
After last month's meeting I circulated the annual accounts for 2023. I've received no queries so I will summarise the figures ready for the AGM once the date is agreed.
I have sent out by email the tenancy agreements and invoices for the allotments. The rent is due by 1st March 2024. I have put notices in the notice board at the allotments reminding tenants to pay their rent, and also reminding them of the guidelines for the allotments.
Events:
Kathy had contacted Templeton Wines who told her they do not do beer and wine tasting evenings. However, Tenby Brewery does, and Tracy agreed to follow this up.
Jubilee Park & Nature Trail:
Ian reported that the annual cut and coppice work was proceeding.
Tracy reported that the original artwork for the park maps is no longer available and agreed to produce up-dated maps digitally.
Allotments:

Doug and Ian agreed to put up the new signs.
Community Hall:
Damaged Manhole Cover: Doug and Tony agreed to replace the cover.
Car Park: Gwyneth reported that due to the incomplete kerb between the road and the car park, water and mud from the road is spilling onto the car park. It was agreed that this problem will be investigated.
Hall Bookings:
Tracy reported that the Scouts have booked another “Sleepover” for 16/17 February and the Church had booked a Cawl Evening for 01 March.
Quiz Nights:
Tracy reported that Quizmasters have been booked up to and including August.
Doug reported that he had received comments that some people were finding it difficult to hear the questions and answers during the quiz and suggested the sound system should be improved. Tracy agreed to discuss this with a contact who is experienced in installing sound systems to see how improvements can be made.
Social Media:
Tracy reported the statistics shown in the appendix below.
Any Other Business:
Sian reported that the County Council had inspected the Hall in connection with the licence. The only issues raised were:

- More signage is required regarding under-aged drinking,
- Her address needed up-dating on the licence,
- Measures should be shown on the optics, and
- A record is required of those trained to run the bar.
