October 2022 trustee meeting

Meeting of Trustees held on Monday 03 October 2022
In the Community Hall

Present:
Doug McIntosh (chair), Tony Ensom (secretary), Kathy Talbot (treasurer), Gwyneth Beynon, Sian Beynon, Tracy Beynon, Amanda Cresswell, Jill Ensom,  Mark Taylor, Jill Thomas and Cliff Williams.

Apologies:
Chris Gilley and Ian Wilkinson.

Minutes:
The minutes of the meeting held on 05 September 2022 which had been circulated previously were agreed and signed by Doug.
 
Treasurer’s Report:
Kathy had circulated the following report before the meeting:
 
Our bank balance at 29th September is £14,031.27 and £270.35. During the month I have paid £800 into the bank.  Receipts from events continue to be good and the card machine proving indispensable now and the income received in the month was £303.00.  I find the little Sumup machine used quite often in other locations   We pay 1.6% per transaction. 
 
During the month we have purchased a new 'wine fridge'. As discussed at the last meeting this is a specialist fridge which chills quickly, hence the price of £239.98.  Gwyneth kindly paid for this and has been reimbursed.
 
I do not think it is correct that Trustees should have to use their own credit/debit cards and propose that the Association has its own Business Card. This is different from a private credit/debit card as it will only work if the account is in funds. I suggest we have two nominated card holders and if this agreed I will prepare the paperwork.
 
EDF and the smart meter installation story continues on....the engineer again failed to turn up on 12th September and while this is another £30 in our 'pocket' it is annoying to have to wait in for them.  A further appointment is now booked for 18th October and I will live in hope that they turn up.   On the last occasion I spoke with the solar panels' engineer who happened to be on site. He confirmed that the change of meter would not affect the panels.
 
Energy support - the Government is to support a price of £211 per megawatt hour (£0.211 per kWh) for contracts fixed on or after April 2022. The 'bad' news is that we fixed in January 2022 at £0.239 per kWh....avoiding the worst the of the price hikes but too early to take advantage, if any, of the Government's cap! Our contract runs until January 2025. 
 
We have now let one of the 'abandoned' allotments and been paid.  Another has confirmed his wish to give up and Ian will look for a tenant.
 
It was agreed that Tony Ensom and Sian Beynon will have CAF Business Cards.  Kathy agreed to make the necessary arrangements.
 
Jubilee Park & Nature Trail:
Doug reported that regular winter maintenance will shortly start and that the Community Council has purchased a flail mower which will be very useful.
Tracy reported that she will be meeting with Lynne Gilley regarding the artwork for the information boards.
 
Doug reported that he had raised the question of the long-term future of the Park with the Community Council’s at their last meeting and it was clear that the councillors were committed to their role in maintaining the Park and were happy to continue with the present cooperative arrangements.  
 
Hainey Moor:
There has been no up-date from PCC regarding the clearance of a field adjoining Hainey Moor.
 
Doug reported that he and Ian had met with Futureworks regarding their request to use the Park for supervised training of people in land based skills. Detailed proposals then are awaited.
 
It was agreed that Alan Davies (with his machine) should be employed for 2-3 days to deal with hedge cutting both in Hainey Moor and in the allotments.
 
Allotments:

Ian had received an offer from one of the allotment holders, Mrs Julie Burgess, to act as a direct point of contact between them and the trustees.  This was welcomed by the trustees.  It appears that she has been cutting grass in the allotments using her own mower (which is actually the Association’s responsibility).  However her mower had broken down and she has requested the Association to fund the cost of repair estimated at £35.  This was agreed.  
 
Community Hall:
Gwyneth had circulated a report from an electrician regarding the ‘trickle’ system for the urinal in the Men’s Toilet indicating that it needed replacement and a quotation of £302.52 for its replacement which it was agreed should be accepted.
 
Gwyneth had also circulated two quotations for the redecoration of the interior of the Hall, one for £1,800.00 and the other £1,940.00.  It was noted that the cheaper quotation included for only one coat of emulsion and it was therefore agreed to accept to higher quotation.  
Kathy agreed to contact Wickes regarding the paint required.
 
Hall Bookings:
 Sian reported the following bookings:
  • 28 October – Pudding Night
  • 06 November – Children’s party
  • 17 December - Children’s party (afternoon)
  • 17/18 December – Scouts Sleepover
It was noted that the next Bingo Night will be moved to 29 October due to a wedding having been booked for 22 October.
 
Quiz Nights:
Tracy reported that quizmasters are booked through until next May.

Social Media:
Tracy reported the following statistics:

Our best performing post (212) was the notice cancelling the quiz  due to the death of the Queen

It was suggested that the Association holds a Craft Fair on 19 November.  Mark agreed to investigate stall holders.
 
There have been two offers of Christmas trees for the village.
