Trustees meeting May 2022

Meeting of Trustees held on Monday 09 May 2022
In the Community Hall

Present:
Doug McIntosh (chair), Tony Ensom (secretary), Kathy Talbot (treasurer), Gwyneth Beynon, Jill Ensom, Chris Gilley, Amanda Cresswell, , Mark Taylor and Jill Thomas.

Apologies:

Minutes:
The minutes of the meeting held on 04 April 2022, which had been circulated previously, were approved and signed by Doug.

Treasurer’s Report:
Kathy had circulated the following report before the meeting:
 
The bank balance at end April is £13,518 and as the users of the hall generally prefer to pay in cash the cash balance is £512. I will pay £400 of this into our bank account, leaving a small 'petty cash' balance. It is good however to see that the card machine 'SumUp' is proving popular at the several party events we are currently booking – helping with the bar turnover. 
There were no exceptional expenditure or income items this month and hall bookings and party events giving an income of over £400. The quiz was a quieter event due to many of the usual participants being away. 
We can undoubtedly put some money towards a Jubilee event for the East Williamston Community Area and I would suggest a budget of £300.

Jubilee Park & Nature Trail:
On behalf of Ian, Doug reported that the planned maintenance work carried out during the winter and spring is showing benefits in the Park which is now in excellent condition.  The Community Council has appointed a new contractor to carry out mowing and this seems to be working well.

Hainey Moor:
Doug reported that an area of woodland between the boundary of Hainey Moor and the A477 has been cleared of all of the trees and that some of the resulting debris has been deposited on the Association’s land.  It is understood that this land was recently sold by J J Morris (estate agents) and that it was at that time described as woodland. Volunteers have carried out some clearance work within Hainey Moor to indicate the boundary of the Association’s land.  Jane Clark was contacted and in turn contacted Pembrokeshire County Council but she has had no response.
The trustees expressed their concern at this development on land immediately adjoining Hainey Moor and the lack of a response from Pembrokeshire County Council.  They instructed the secretary (in conjunction with Doug and Ian) to write to east Williamston Community Council and Jacob Williams (the community’s councillor on Pembrokeshire County Council) to seek an explanation. 

Allotments:
Kathy reported that all plots are let and all rents paid.
Doug reported that some tidying up of the entrance to the allotments is required and that he and other volunteers would deal with this.

Community Hall:
Urinal Flushing System:  Gwyneth reported that Del Brace (plumber) has advised that there should be a regular flow of water to the urinal to prevent crystallization of urine blocking the waste pipe.  He is investigating a ‘trickle’ system and will come back with further advice.
 
Roof Insulation:  Mark reported that a suitable material equivalent to 100mm of Kinspan costs £94 per roll and the equivalent of 150mm costs £138 per roll.  He will bring samples to the next meeting.
 
Gwyneth reported that there are 6 tins of external paint in store and suggested that Adam North would be able to use it to re-paint the outside of the hall.  She was asked to obtain a quotation from him for this and for re-painting the inside of the hall and foyer.
 
Sian had reported that a new receipt book is needed.  Kathy agreed to deal with this.

Hall Bookings:
There have been no further bookings since those reported at the last meeting.
Doug pointed out that the Community Council will be meeting in person again every first Thursday in the month in the committee room.  On behalf of the Bowls Club, Mark agreed that on these evenings the club would not use the bar.

The Queen’s Jubilee Celebration:
Mark reported that the sub-committee plans to have a barbeque with music and games in the hall on Friday 03 June.  Flyers and notices regarding the event will focus on East Williamston village.  A meeting of the sub-committee on 12 May will discuss further details.
