Charity No. 1168964
Meeting of Trustees – 7th June 2021 at 7.00 pm
Present:
Doug McIntosh (chair) Kathy Talbot (treasurer), Ian Wilkinson, Gwyneth Beynon, Sian Beynon, Tracy Beynon, Amanda Cresswell, Jill Ensom, Mark Taylor and Cliff Williams
Apologies:
Tony Ensom and Jill Thomas
Minutes:
The minutes of the meeting held on 10th May 2021, which had been circulated previously, were approved and signed subject to the following correction…”95% of people are viewing on their mobile phones, not 950%”.
Treasurer’s Report:
Kathy’s reported as follows:
As the Hall is now open, we are beginning to receive rental monies. The current bank balance is £31,510. We will know how we actually stand once we have received quotes for the heating and agreed the supplier/installer.
Interserve, who for several years have serviced our fire extinguishers and fire alarms, have withdrawn from this activity. We have been able to find a new supplier, Ocon Fire and Security, who will carry out the same work. The cost is £137 per annum (plus VAT) compared to £100 plus VAT. They are a known and recommended firm and I suggest we confirm the contract with them.
We have received the quarterly bill for electricity. This shows usage for March to May quarter of 198 units compared to 316 units in 2020 and 1112 units in 2019. These have been changing times, so comparisons may not be appropriate but we should hope that the PV panels are having effect.
Once we have signed off the minutes for May, confirming the trustees agreement, I will be able to proceed with the change to CAF Bank. All trustees present were in agreement.
£175 had been received for the using of the Hall for voting. Thanks were expressed to Gwyneth for getting up very early to open the hall on voting day.
Jubilee Park & Nature Trail:
The hedges round the play area were cut last week and the car park area at the Cold Inn end had been tidied up. The next planned work was repair of the bridge across the stream so that it could be used.
Re the information boards, Tracy has mock-ups in progress and is able to obtain free photographs and illustrations for this purpose.
Mark and Mandy reported that two youngsters appear to be driving to the park regularly for the purpose of smoking cannabis. Mandy will obtain their car numbers and contact the police.
A start date of July had been given for improvements to the play area.
Allotments:
All are let. The lessee of L1 and L2 is struggling due to a change in his working hours but he is taking care to control weed growth.
Community Hall:
The guttering needs clearing. Mark will try to get it cleared but Rhys would possibly be able to do it.
The testing of all systems has been completed.
Three companies have been contacted re the supply of a brass plaque in memory of Graham Dorney. Jennie is in discussion with them re layout and design. Graham’s family will be consulted re the site and timing of the positioning of the plaque.
No further bookings had been received. Soccertots started last Friday and the Playgroup would be returning in September.
Re-Opening of the Community Hall:
A copy of PCC Health Regulations regarding hospitality issues had been pushed through the Hall letterbox. KT will scan and circulate.
There are no plans to reopen the bar.
Hall Heating:
DM had sent out three requests for quotations, requesting a response within two weeks. One heating engineer had already replied and DM was meeting him at 9.00 on Tuesday 8th June. He was not keen on the replacement of an oil tank and it was likely that we would have to contact KP Thomas or Oil for Wales, for example to solve the tank problem.
It was agreed that, in the event of no response from the other two engineers, we go with the single tender in order to get on with the task.
Web Site:
All biographies have been received. The Welsh Government have starting sharing information re Covid. The more we update the site, the higher the circulation. Four people have already approached the Bowls Club as a result of seeing information.
AGM
In the absence of the Secretary, it was thought that the AGM was planned for September. In order to attract more attendees, perhaps an event could be planned and the Bar opened. This item will be discussed next month and a date for the AGM decided upon.
Any Other Business:
Pat Burrow was very grateful to Mark for cutting back the bamboo.
A letter of gratitude would be sent to Frank for his excellent work in cutting the grass on the green.
Gwyneth had purchased two spare keys for the Hall front door.
Jacob Williams had reported that the defibrillator in Broadmoor had been used recently to save a lady’s life.
At some stage in the future, the hall floor could do with sanding/resurfacing.
The broken down car on the grass area alongside the cemetery will be removed this week.
Next Meeting:
The next meeting of trustees will be on Monday 5th July 2021 at 7.00 pm in the hall.
