Trustees meeting April 2022

Meeting of Trustees held on Monday 04 April 2022
In the Community Hall

Present:
Doug McIntosh (chair), Ian Wilkinson (vice-chair), Tony Ensom (secretary), Kathy Talbot (treasurer), Gwyneth Beynon, Tracy Beynon, Amanda Cresswell, , Jill Thomas and Cliff Williams.

Apologies: 
Sian Beynon, Chris Gilley, Jill Ensom and Mark Taylor.

Minutes:
The minutes of the meeting held on 07 March 2022, which had been circulated previously, were approved and signed by Doug.

Treasurer’s Report:
Kathy had circulated the following report before the meeting:

It has been an 'expensive' month. We have been able to use our reserves to restore the floor and we have also renewed our insurance policy.  Once the value of the additional equipment purchased for the Bowls club is known I will advise the insurance company. We have also, thanks to Tracy's hard work sold and purchased a cooker. Our closing bank balance is therefore £13,787 and just over £200 in cash. 
 
All the allotments are now paid for the coming season. 
 
I have looked into savings accounts with CAF. Their current instant access would pay 0.10% per annum or 0.30% for a 60 day notice account.  I currently would not see the real benefit in investing in this way but will continue to watch the interest rates.  
 
As the minimum wage increases to £9.50 an hour from 1st April I will be arranging to change the standing order for Gwyneth Beynon. 
I would also remind everyone that 2nd class postage is now 68p per ordinary letter and 1st class a dizzying 95p.  As far as possible I will avoid posting material

Jubilee Park & Nature Trail:
Ian reported that planned maintenance had now moved into spring and summer phase including repairs to paths.  A tree has been planted in the Park to commemorate the Queen’s Jubilee.

Allotments:
Ian reminded the trustees of its policy regarding vacant plots.  Where a plot is vacated, it is first offered in turn to those on any waiting list.  If there is no waiting list, the plot is offered to existing plot holders.  The trustees agreed that this policy should continue.

Community Hall:
Engineer’s reports:  It was noted that, following recent reports on the fire alarm and emergency lighting systems, no immediate action is required.
 
Urinal Flushing System:  Ian agreed to provide details of a plumber and Gwyneth agreed to investigate.
 
Roof Insulation:  Mark will provide information about materials which would be suitable to hold back the existing insulation which is loose and provide additional insulation.
 
Key Box:  The code has now been changed.

Hall Hire Charges:
It was agreed that reduced rates of hire charges which had been applied during Covid-19 restrictions should not now apply and that, as from 01 May 2022, full charges will be made in accordance with the previous schedule.
 
It was also agreed that a fixed rate will in future apply to hire of the hall for children’s parties.  This would be £30 per party for up to 4 hours hire (including setting up and clearing up time) of the hall and kitchen.

Hall Bookings
On behalf of Sian, Tracy reported the following bookings:
  • 10 April        County Bowls 9.00 – 16.00 (provisional)
  • 23 April        Party 14.00 – 16.00
  • 29 April        Party 19.00 – 00.30
  • 25 June       Party 18.00 – 00.30
  • 09 July         Party 10.00 – 15.00
  • 22 July         Party 14.00 – 16.00
  • 22 October   Wedding Party 
The Baby Exercise Class on Wednesday mornings has proved to be successful and will therefore continue.

Quiz Nights:
Mandy agreed to be quizmaster for the April quiz on Saturday.
 
Following comments from a couple of regular attendees to the quiz nights, a suggestion that there should be a maximum number in each team was discussed.  The trustees agreed that it would not be helpful to make such a restriction.

Website and Facebook:
Tracy reported the following for the last month:
  • Website stats: There have been 117 unique visits and 206 page views.
  • Google:  Jubilee Park and Nature Trail – 2,000 direct searches and 7,600 visits from other searches.
  • Google:  East Williamston Community Hall – 276 direct searches and 309 visits from other searches.
Facebook:  The best post was “Let the Children Play” with a reach of 867, 69 likes and 19 comments.

The Queen’s Jubilee Celebration:
The sub-committee will report back to the next meeting.

Any Other Business:
The trustees agreed that this year’s Annual General Meeting of the Association will be held on Monday 09 May 2022 at 7.00 pm in the Community Hall.

Next Meeting:
The next meeting will be on Monday 09 May 2022, immediately following the AGM.
